Our company updated email addresses. How can I reflect this in ART?

Since email addresses are used as the Login ID's in ART, it's very important that they're correct. If they need to be changed or updated, there are a few things that need to happen in ART.


First, set up all new user profiles using the new email addresses as Login ID for each user in Users > Create New User . Make sure to assign all of the same roles to each person.


Go to Accounts > Account Ownership and click on Search + Email.  


A complete listing of accounts and their owners will be sent to your email.  This will be used to complete the Account Attribute import template that will update all owners of accounts to their new user profiles.


From the emailed listing of accounts, copy and paste the account information - key(s), account number, account name, and any owners (Preparers, Reviewers, Approvers, Analysis Preparers, Analysis Reviewers, Analysis Approvers, Backup Preparers, Backup Reviewers, Backup Approvers, Backup Analysis Preparers, Backup Analysis Reviewers and Backup Analysis Approvers).


For any of the owners listed, replace the names with that person's new Login ID (email address).  Only email addresses should be used on the Account Attribute import file.  Names will cause the file to error out.


Once complete, save the file and import the Account Attribute file by going to Data > Data Import and choosing the Data Import Type called Account Attribute Load.  Name the file and click on 'Select' to browse for where it was saved.  Then click 'Upload'.



Once the import is successfully loaded, go to Users > Update User Profile and update each of the old user profiles to be inactive by clicking into each profile and then clicking the radio button to deactivate the user.  Then click 'Save'.
